You can start your practice with a well defined workflow for your team, but these things will interrupt even the most meticulous planning.

When we first started, we had all sorts of different pieces of information coming in at any given time in several different directions: emails, phone calls, text messages, in person visits, etc.
Because we had to manage so many different patients for so many different practices all at once, we quickly realized the traditional methods weren’t going to cut it.
How To Run Multiple Practices More Efficiently
Since our team has a considerable background in technological development, we recognized this issue was already largely solved in the world of IT.
After all, this scenario is much more common there than it is in the medical/healthcare field.
Medical coworking spaces are growing in popularity, but they’re a relatively new concept.
According to Google Trends, for example, very few people were searching for the term before 2015.
So instead of simply making do with the market solutions out there that weren’t really meeting our needs, we decided to tailor the principles we’d seen in the IT field to private healthcare practice workflow management.
Be The Change You Wish To See In The Market
As we explored the market solutions available, we realized there was nothing that would suit the needs of our partner practices.
So, we built our own solution which focused on task delegation.
According to a 2022 article published by Forbes, task delegation is an essential component in building your own business.
We began by repurposing some of the tools that already exist on the market to get started.
From there, we built out our proprietary software that fully manages the workflow.
How did we do it?
We used a project management system called Kanban as a template, from which we built our method of tracking work.
From there, we would split patient cycle events into different tasks, each assigned to a specific person with default due dates.
These tasks get triggered automatically when the corresponding event happens.
For example, let’s say you email or leave a voicemail with our front desk to request an appointment with one of our partner practices.
This will automatically create a task for the front desk to follow up with you, and assigns it to the front desk with a due date for the same day.
After that’s finished, it creates another task for the front desk to verify your insurance information.
From there, another task pops up: getting you on the calendar so you can get the healthcare you need.
As you can see, this chain of events is all connected.
Each event happens subsequently, connected to the previous.
This ensures that everything is taken care of at each step along the way, until your particular patient session is finished.
This works with asynchronous events as well, like if you call to make a request for billing information.
Finally, from a management point of view, our partner practices get a snapshot of what’s going on with their practice management as well.
We began incorporating task based patient cycle management in late 2018, and it has made a tremendous difference in streamlining our workflow.
As a result, we’ve been able to keep our team small, an overhead savings we’ve been able to pass on to our partner practices.
